EXAMINATION

EXAMINATION PROCEDURE AT MALWANCHAL UNIVERSITY

One of the major components of our education system is the evaluation of students through examination. The education process in any discipline of learning ends with examinations. The entire effort put in by the teachers in teaching and the students or learning is centered on the results. The Conduct of examination is one of the most important activities of the university and Malwanchal University is striving hard to ensure fair conduction of examinations which is efficient and reliable.

The examination system at our university exercises all precautions & efforts to make sure that no inadvertent errors occur throughout the entire process of examination right from procurement of question paper to issuing of mark sheets of the exams. Throughout all these processes a high level of confidentiality is maintained.

At the end of the academic year, meetings of the Board of Examination (BOE) of respective disciplines are held to discuss about the date sheets, selection of the panel of paper setters, moderators, Chief Exam Superintendent etc. (45-60 days prior to exam)

The BOE of respective disciplines, then submit the list of paper setters to the Office of the COE. More names of paper setters are added and Database is prepared & presented to the Honorable Vice Chancellor who randomly selects the paper setters. Then the template along with sample question paper format with the syllabus is mailed to the paper setters. The University adopts robust methods of procuring the Question Paper through offline and online mode from Senior Faculty members from different universities. Every effort is made to ensure the confidentiality of the question papers received from both the Internal and External Paper Setters.

Senior faculty members from respective disciplines are invited for the moderation of the received question papers. A minimum of 5 sets of question papers per subject are moderated, packed, sealed and stored in the strong room. The date sheets of the examinations are dispatched to the respective faculty and also displayed on the university website.

The process of conducting examination at out university is decentralized, the university appoints Chief Examination Superintendent, Exam Superintendent & two Assistant Exam Superintendents along with junior invigilators who play an important role in conduction and supervision of the examination Halls/centres, one invigilator is assigned for every 20 students. All our examination centres are well equipped with 24x7 CCTV’s camera surveillance and signal jammers

The process of conducting examinations is fully automated. Once the date sheet of the examination is announced, the eligible students can fill up their examination forms as well download their hall tickets through online mode.

On the day of the theory examination, the papers are taken out from the strong room in presence of COE/Registrar who then randomly selects a question paper packet from among multiple sets of question paper packets. The selected papers are then printed, sealed and dispatched to the examination centre/s.

The sealed question paper packets dispatched from the university are received in examination centres by the Chief Exam Superintendent who displays the packets to the student and randomly takes signature of 2 student’s representative ascertaining the status of the sealed question paper packets. The Examination hall is under the direct supervision of Chief Exam Superintendent, Exam Superintendent & two Assistant exam superintendents under whom junior invigilators work to supervise students. The university also appoints flying squad, to randomly visit and overlook the process of conduct of exam and to prevent malpractice. At the end of the day’s examination the answer scripts are sealed at the examination centers and sent to the examination section.

The examination section receives sealed packets containing answer scripts. Then the answers scripts undergo process of shuffling/mixes by the office assistants. The shuffled answer scripts are then folded, stapled and then a second round of mixing of answer scripts is carried out. The answer scripts are then coded which ensures a fair quality of evaluation. The coded answer scripts are then sealed back in cloth packets and stored until evaluation.

The answer scripts are evaluated by the external examiners as well as by the internal examiners. To ensure timely declaration of results, the internal examiners are invited to evaluate the answer scripts starting the next day of the theory papers. All evaluation procedures are done under CCTV’s installed in the evaluation room. The answer scripts are evaluated by the internal & external examiners under CCTV coverage.

After the evaluation of answer scripts the scripts the papers are decoded and marks entered into the TR. The Data entered in the TR are again cross checked with the internal theory and practical marks to avoid any errors. The final result sheet once obtained is cross verified by COE. The final result is dispatched to the respective institutes. During all the examinations Special Committee for UFM is constituted at the university headed by COE to look into all the cases of UFM during examination.

REVALUATION PROCEDURE

Facility for revaluation of the answer scripts is available in the university. After the declaration of the results of the university examinations, if any student feels the marks obtained are not as per his/her expectation, they can apply for revaluation process.

The application for applying for revaluation is available at the Students Section of respective institutes. The students can apply for revaluation in not more than 2 subjects by paying prescribed fees with 15 days of declaration of the university results, The applications are then forwarded by the dean through proper channel.

Once the revaluation forms are received at the Office of the Controller of Examinations, the process of revaluation is initiated. The answers scripts are folded, coded and are revaluated by 2 external examiners (other than the examiners who had previously evaluated them). The average of marks given by the examiners is taken into consideration. The results are then prepared and dispatched to the respective institutes for display. Throughout the entire process, a complete transparency is followed to ensure a fair revaluation and the process is time bound.

SUPPLEMENTARY EXAMINATIONS

The Supplementary examinations are conducted within 3-6 months to allow the students to clear the backlogs without losing out on time. The students can apply for appearing for supplementary examinations by paying prescribed fees.
